What information we collect

We collect the contact details, optional cover letter, application answers, and optional CV that you choose to submit. If you apply without a CV and your application progresses, we may email you a secure, time-limited link so you can add it later. We also record the vacancy, application progress, messages sent about your application, and limited campaign-attribution information showing how you reached the vacancy.

Why we use it

We use this information to assess your application, contact you, arrange recruitment steps, maintain an accountable recruitment record, and understand which recruitment channels are effective.

Lawful basis: We use your information to take steps at your request before entering into an employment contract, to comply with employment-law obligations, and for our legitimate interests in running and documenting a fair recruitment process.

Who can access it

Access is limited to authorised recruitment staff and assigned reviewers. Approved service providers may process information only to operate the recruitment service, host protected records, scan uploads for malware, or deliver recruitment email.

AI may help draft recruitment campaign copy, but candidate applications are not sent to the copy-generation service and AI is not used to decide who progresses.

How long we keep it

For an unsuccessful application, personal data is scheduled for deletion or irreversible anonymisation no later than 6 months after the vacancy closes. If you are hired, information needed for employment is handled under the relevant employee privacy arrangements.

Registering interest in future roles

If you separately choose to register interest in future roles, we use your consent to retain your contact details, preferred stores and the experience you provide for up to six months from submission. This is not an application and does not guarantee a vacancy or a reply. Central recruitment staff can contact you about a suitable opportunity. You can withdraw consent and ask for deletion at any time using the contact address below. Expired enquiries are deleted from the live talent pool; protected backups expire under our backup retention policy.

Your rights

Depending on the circumstances, you may ask for access to or correction of your information, request deletion or restriction, object to processing, or ask for a portable copy. You may also complain to the UK Information Commissioner's Office.
